Dec 22, 2025 3 min read We’re Hiring – SSNAP Bookkeeper Part Time Contract Position Reports to: Board Chair and Treasurer (under review) Note: Close working relationship with Operations Manager and External Accountant Job purpose Provision of bookkeeping services to the Salt Spring National Art Prize (SSNAP) Society. Duties and responsibilities The primary duties associated with this position are as follows: Maintaining accurate books on accounts payable and receivable, including: Reviewing and recording income and expenses in QuickBooks Initiating payments and recording in QuickBooks Recording any donations onto the donation spreadsheet as well as in QuickBooks Monitoring of PayPal and Square accounts Reconciliation of monthly credit card and bank accounts Monitoring auto-payment for monthly subscription (e.g. Adobe, MailChimp) Monitoring and initiating payment for annual subscribe options (e.g. Zoom, QuickBooks, web domain renewal, website plugins, etc.) Provide financial information to the Executive Director and Accountant as required Issue tax receipts and maintain accurate records of such Complete or assist in the completion of GST and other CRA reports including preparing T3010 report Manage grant funds including tracking as required to meet donor specific conditions Maintain control over daily transactions to meet regulatory requirements that are unique to the unique rules governing nonprofits, and the organizations budget Providing support for SSNAP exhibitions and fundraising activities, as follows: Receive and record daily income from entrance fees, donations, art sales etc Track cash and cheque deposits as required Reconciliation of the float daily Reconciliation of door donation as required. Advance set up of Square terminal with set costs to facilitate work of volunteers Record and track all art sales Completion of the GST form if artist is a GST registrant For art sales, record the consignment amount and initiate payment of the consignment at the end of the sale period For on-line sales, notification of the Show Managers and Website Admin when artwork is sold online Initiate payment of shipping + Insurance subsidy and/or bill amount owing for all finalists following the exhibition (under direction from the Shipping team) Initiate payment of awards to artists following the exhibition Invoices shipping cost to purchasers as required following the exhibition (under direction from the Shipping team) Initiate payment of honoraria (e.g. jurors, artist talks, show managers) and travel expense claims Providing bookkeeping services for financial transactions during the submission period, as follows: Frequent checks of PayPal transactions and e-transfers for registration payments, especially during peak period of submissions Reconcile PayPal account with submission data Enter all registration fees in QuickBooks Preparing reports for the Executive Director and Treasurer. Organizational Background and Working conditions The Salt Spring National Art Prize (SSNAP) is a biennial competition and exhibition of Canadian visual art. Offering $52,000 in awards, SSNAP is one of Canada’s largest celebrations of contemporary art. SSNAP has multiple exhibitions during the competition season (SSNAP, Parallel Art Show, Youth Exhibition), and holds multiple fundraising events in both fallow and exhibition years. While SSNAP is Situated on Salt Spring Island in British Columbia, the work is part time and performed remotely. As this position is performed off-site, the incumbent must have their own computer and reliable internet access. An on-line version of QuickBooks is used by the SSNAP Society. Work hours fluctuate monthly between the exhibition and fallow years. Average hours during non-event months range from 2-10 hours per week. During event months and fiscal year end, hours range from 10-20 hours per week. During the competition months (September to November 2027) hours range from 15-30 hours per week. Fiscal Year end is December 31.
